Groups are a helpful way to organize members of your organization. Groups allow you to:
- Easily search and select multiple users at once for assignments, reports, external training, etc.
- Assign Group Owners that can manage training for group members.
To create a group, go to the Admin menu and select Groups from the drop down menu and then select Add group.
- After clicking the Add group button, you'll be taken to a page where you can create a Name and Description for your Group. Depending on the site, you may also select what type of group you would like to add. Click Add when you've finished.
- At this point, your new group is saved. On the bottom of the page, there is an area where you can add members to the group you just created.
- Select the Add members tab, and a list of your members will appear. In the search bar above the the list, you can search for the members you would like to add to the group. Select the Add button to add the desired user to the group.
- If adding multiple members to a group, you can select the box next to their names, then select the Add selected button after all the desired members have been selected.
- When you're done adding Members to the group, you can go back to the Groups page (select Admin from the menu tab and then select Group from the drop down menu) to see it listed under your Organization's Groups list.
What is a Group Owner and How are They Assigned?
You can assign an admin to oversee a group as a Group Owner, and that Admin will only manage those users and perform actions for that subset of users. This is helpful for medium or large organization with multiple divisions that each have their own manager or someone who oversees training for that division. Group Owners have all admin permissions granted in Roles, but only over the members of their group. For example, if users are granted permission to report external training but they are Group Owners it allows them to report training only for their group members.
You can make a user in the group a Group Owner by clicking the Make Owner button next to the user name.
If you need to revoke ownership of a member for the group at any time, select the Revoke Owner button next to the user.
