    Article summary

    This article applies to:
    PoliceOne Academy, and CorrectionsOne Academy

This is a guide on how to use the split credit functionality in the External Training feature. Without the ability to split course credit, training that counted towards more than one category/requirement needed to be reported more than once. For example, a 10 hr training session that counted towards 6 hrs of COE credit and 4 hrs of proficiency needed to be reported twice, and completions were tracked separately in reports.

This new functionality is in Beta, available any P1A and C1A customers that would like to test it it.

    What does the feature do?

    • Users that can manage external training can split course credit in the external training form through training codes, so that credit can be allocated to one or more categories while only reporting the activity once.
    • Course split credit settings can be applied to all users, with the ability to override.
    • Completions reports show where the credit was applied for each user. The reports sum up the credit hours each user has accrued for each requirement.
    • Users that have been assigned code-based requirements (learning plans) will accrue hours based on how the credit was split. For example, let’s say a user has just been assigned 8 hrs of COE and 8 hrs of Proficiency. By reporting the 10 hr external training, split into 6 hrs of COE credit and 4 hrs of Proficiency, the assignment is updated, and the user will now only need 2 hrs of COE credit and 4 hrs of proficiency.

    How do I split credit?

Once the feature is enabled for the organization,

    1. In Code Manager, make sure codes have been created for the requirements course credit will be split into. For this example, I created a AZ POST classifiers with codes COE and Proficiency.
    2. Report the training as you normally would (Training>External Training>Report Training). Under the Total Credit field, check the Split option. You will be able to split the total credit into training codes as shown:Note you will indicate what codes the credit will be split into by checking the “participates in split” box. This allows you to code the training with other codes as needed, and not have them participate in the split.
    3. Course settings (total credit, applied codes, credit hrs, split selections) will be automatically applied to all users, but the settings can be modified for individual users as needed.

How to track split credit in reports?

    1. Under Admin>Reports, select a completion report such as the Members Report
    2. You must select these columns (under the Format Option tab in the report) to see where the credit was applied for each user:
“Credit Applied” displays all the code credits in one column, while “Credit Applied (split into columns by code)” displays credit for each code in a separate column.
    3. To add up the credits for all training per code for each user you must:
      1. Select
